Organization Guide

Everything you need to manage your coaching institute โ€” from first setup to daily operations.

Getting Started

When you first register your organization, B2BCampusX walks you through a quick 3-step setup wizard. Here's what happens:

Welcome

Log in and land on your dashboard. The setup wizard appears automatically on first visit.

Enable Features

Turn on Branches (multiple locations) and Multiple Batches (students in many batches at once). You can skip and do this later in Settings.

Done

Your workspace is ready. Start by adding courses, batches, and students.

To run the setup wizard again, go to Settings โ†’ Help & Tutorial โ†’ Run Wizard.

First 5 things to do

  • Create at least one Course (e.g. JEE Mains)
  • Create a Batch under that course with timing
  • Add your first Student and enroll them in the batch
  • Record a fee payment for that student
  • Add staff members who will teach

Students

The Students section lets you manage all enrolled students in your organization.

Add a Student

Go to Students โ†’ click Add Student. Fill in name, phone, email, and select a batch to enroll them.

Enroll in Batches

Each student can be enrolled in one or more batches (if Multiple Batches feature is enabled).

Search & Filter

Search by name or phone. Filter by batch, course, or branch to find students quickly.

Student fields

  • Name, Phone, Email โ€” basic identity
  • Batch enrollment โ€” which batch(es) they attend
  • Guardian name & phone โ€” for parent notifications
  • Join date โ€” automatically recorded on enrollment

A student account is auto-created when you add them. They can log in at the student portal using their phone number.

Batches & Courses

Courses are the subjects you teach (e.g. JEE Mains). Batches are specific class groups under a course with a fixed schedule.

Create a Course

Go to Courses โ†’ Add Course. Give it a title, description, and optional branch assignment.

Create a Batch

Go to Batches โ†’ Add Batch. Select the course, set timing (e.g. Mon/Wed/Fri ยท 9:00โ€“11:00), and max students.

Assign a Teacher

When creating a batch, select a staff member as the teacher for that batch.

Batch timing matters for Attendance

  • Set schedule_days as comma-separated day codes: Mon, Tue, Wed, Thu, Fri, Sat, Sun
  • Set schedule_time as a range: 09:00 AM - 11:00 AM
  • Attendance auto-detects batches that are running right now based on this timing

Attendance

Mark daily attendance for each batch. B2BCampusX auto-detects which batches are currently running.

Go to Attendance

From the sidebar, click Attendance. It opens to today's date by default.

Select a Batch

Use the filter dropdowns (Branch โ†’ Course โ†’ Batch) to select the batch. Ongoing batches are highlighted in green.

Start Session

Click 'Start Attendance' to open today's session. All enrolled students load automatically as Absent.

Mark Students

Tap Present, Late, or Absent for each student. Use 'Mark All Present' for quick attendance.

Save

Click Save Attendance. The session stores a timestamped record.

Navigate to past dates using the prev/next arrows to edit or review attendance history.

Auto-detect (Ongoing)

  • If today's day is in the batch's schedule_days AND current time is within schedule_time, the batch shows as Ongoing
  • A green banner at the top alerts you when a batch is currently running
  • Click the batch in the dropdown to immediately start attendance

Fees Management

Record fee payments for students โ€” either full payment or EMI installments.

Go to Fees

From the sidebar, click Fees. You see a table of all fee records with status (Paid / Pending).

Add a Fee Record

Click Add Fee. Select the student and batch, enter the amount, and choose Payment Type.

Full Payment vs EMI

Full Payment = one-time. EMI = select EMI number (e.g. 2 of 6) and total EMIs. Each EMI is recorded separately.

Mark as Paid

When a student pays, open the record and mark it Paid. Pending fees appear in the dashboard.

Dashboard fee stats

  • Fees Collected โ€” total paid across all students
  • Pending Fees โ€” total outstanding
  • Collection Rate โ€” % of total fees collected
  • Both filter by branch when branch selector is active

Use the branch filter on the dashboard to see fees collected for a specific location only.

Staff & Roles

Add your teachers, coordinators, and support staff. Assign roles to control what they can access.

Add Staff

Go to Staff โ†’ Add Staff. Enter name, phone, email, and assign a role.

Roles

Company Admin โ€” full access. Staff โ€” limited access (no settings, no financial data by default).

Assign as Teacher

When creating a batch, you can assign any active staff member as the teacher.

Staff members receive a login invite and can access the dashboard based on their role permissions.

Branches

Branches let you run your coaching from multiple physical locations, each with its own courses and batches.

Enable Branches

Go to Settings โ†’ Features โ†’ toggle on Branches. Or re-run the Setup Wizard from Settings โ†’ Help & Tutorial.

Add a Branch

Go to Branches โ†’ Add Branch. Enter name, address, and phone.

Assign courses to branches

When creating a course, select which branch it belongs to. Batches automatically inherit the branch.

Filter by Branch

On the dashboard, a branch selector dropdown appears. Pick a branch to see stats only for that location.

Branch-wise data

  • Students, fees, and batches all filter by branch
  • Staff count is always organization-wide (not branch-filtered)
  • Dashboard shows a Branches card when feature is enabled

Settings & Features

Control your organization's features, branding, and integrations from Settings.

Feature flags

  • Branches โ€” enable multiple locations
  • Multiple Batches โ€” one student in many batches
  • Fee Reminders โ€” auto-remind for pending fees
  • WhatsApp โ€” send notifications via WhatsApp
  • Attendance โ€” enable/disable the attendance module
  • Assignments โ€” enable assignment sharing in batches

Branding

  • Upload your logo โ€” appears on all student-facing pages and emails
  • Primary & secondary color โ€” customizes the student portal theme

Changes to feature flags take effect immediately for all users in your organization.
